New Employee Checklist

By joining the staff of the University of Arkansas and the University
community, you have become an important part of the state’s most
exciting and challenging educational endeavor. The University’s success
in carrying out its mission is, in large part, dependent on the success
of each of its employees. Your skills, pride, and commitment to your
work help ensure the continued progress and strength of the University.
There are a few administrative tasks that need to be accomplished to get
you into the “system”. Your supervisor may assist you in meeting these
requirements, but ultimately it is in your best interest to see that
they are accomplished in a timely manner.

Complete Employment Forms:
The employment forms listed below should be completed within the first
three days of employment, if not sooner. In most instances, the forms
can be completed in your department and forwarded to Human Resources.
Non-resident employees must contact the Non-Resident Tax Coordinator to
schedule an appointment to complete employment forms in Human Resources.
Failure to do so could result in incorrect taxation of your payments. An
appointment can be made by contacting nelsonj@uark.edu, or (479)
575-2158.

completed in a timely manner.
Non-Resident Employees: Make an Appointment with Human Resources
A non-resident employee is anyone who is not either a US Citizen or
Legal Permanent Resident (green card holder).
Because of the myriad laws regulating how non-residents must be taxed on
their US income, it is important that each new non-resident employee
arrange an appointment with the Non-Resident Tax Coordinator in Human
Resources: nelsonj@uark.edu, or (479) 575-2158.

Get Parking Permit
Don’t get a ticket! You must have either a valid parking permit or pay a
parking meter to avoid getting fined.
Fee information plus the forms for Vehicle Registration and Payroll
Deduction can be found by clicking on Parking Permits at:
http://www.uark.edu/depts/parking
Obtain Faculty/Staff ID Form
You will need an authorization card from your department and a form of
picture identification to obtain your University of Arkansas ID card.
Identification cards are made in the Campus Card Office located in the
Arkansas Union.
New faculty joining the UA at the beginning of a new academic year will
have an opportunity to get their ID at New Faculty Orientation that is
typically scheduled the Tuesday before the first day of classes in
August.
Get security access and/or key(s).
Your department will authorize the appropriate security access for your
position. The Key Office in Facilities Management manages the issuance
of keys to most University property. Here is a link to their website:

Attend New Employee Orientation
New Employee Orientation (NEO) presents important information and
resources you need as you begin your career. All new staff and faculty
should attend a NEO session. Reservations are required and can be made
on-line or by contacting Human Resources at 575-5351.
The NEO program consists of two partial days and is held weekly on
Monday and Tuesday with the exception of holidays:
- Day One provides an introduction to the University community,
traditions, resources, key UA policies, diversity values and will
include campus tours and lunch in one of the dining halls.
- Day Two will include more detailed descriptions of insurance and
retirement benefits.
An orientation session specifically for New Faculty is typically held
the Tuesday before the first day of classes in August. New faculty
should contact Teaching & Faculty Support Center for details:
tfsc@uark.edu or (479) 575-3222.
Obtain Computer ID(s)
Enroll in Employee Benefits within 31 days of appointment.
The University’s employee benefits package is discussed in detail during
New Employee Orientation. It’s important that enrollment forms be
completed and submitted to Human Resources within the first 31 days of
appointment.

Register for ISIS training (if used)
ISIS (Integrated Student Information System) is the "behind-the-scenes"
student administrative software program that manages student records. If
your position requires access to ISIS, you may register for training by
clicking on the Training link of the following page:

Set up BASIS training (if used)
BASIS (Business & Administrative Strategic Information System) was
designed and developed by University of Arkansas employees to provide an
integrated, customized suite of software modules to meet the Business &
Administrative needs of the University.
To set-up training for the BASIS modules required for your position,
please call Cheryl Canfield at 575-7046 or visit the BASIS website and
click on Training Classes.
Register to attend Our Campus: Building a More Inclusive University of Arkansas
The Our Campus inclusiveness training is the foundation of Human
Resources’ education programs to support the University’s diversity
initiatives. All employees are expected to attend an Our Campus session.
Registration is available on-line at

New employees are also encouraged to participate in the Diversity Certificate and Awards Programs
designed to develop and recognize
commitment to the University’s diversity initiatives.
Review your payroll earnings statement.
Appointed employees are paid once per month. Direct deposit is the
standard method by which the University pays employees. Approximately
three days before pay day, you will receive an advisory form by e-mail
or you may review it on webBASIS, if preferred. The earnings statement
reflects your gross pay, deductions, and the net pay that will be
deposited to your account or accounts. For benefits-eligible employees,
the form will also provide information on your and the University’s
payments for benefits and levels of benefits coverage, and the e-mail
version will give detailed information on leave use. You may also see
your leave information on webBASIS.
Ask questions.
Never assume. If your supervisor does not provide information, then ask!
What are my work hours? Do I complete a time sheet? When is lunch? Where
is the rest room, break room, etc. If I am going to be late for work,
who do I notify? When do I notify? What is appropriate dress for the
workplace? What are my duties and standards for performance?
